From the moment you have a fully executed contract (Form 2-T) to the moment the attorney cuts the commission checks, Clear Closing TC acts as the central hub of your transaction. We keep all parties informed, ensure strict NCREC compliance, and deliver a seamless, white-glove closing experience for your buyers and sellers.
What’s Included in the CTC Package?
Communication & Introductions
- Next-Business-Day Onboarding: Contract receipt acknowledged and initial welcome emails sent to all parties within 1 business day.
- Professional Introductions: We formally introduce ourselves as your dedicated Transaction Coordinator to the Buyer/Seller, Lender, Closing Attorney, and Co-op Agent.
- Weekly Check-Ins: Routine status updates sent to you and your clients so no one is ever left wondering, “What happens next?”
- Closing Logistics: Coordinating closing times, sending utility transfer reminders to clients, and sending a final “Congratulations” email after funding.
Timeline & Financial Tracking
- Master Calendar Creation: We extract all critical contract deadlines—including the Effective Date, Due Diligence expiration, and Settlement Date—and sync them directly to your calendar with built-in internal warning triggers.
- EMD & DD Tracking: Diligent follow-up to ensure Earnest Money and Due Diligence checks/wires are delivered on time, including securing the mandatory 335-T receipts for your file.
- Inspection Tracking: While you handle the initial scheduling and vendor selection to best advise your client, we track the appointment date and follow up to ensure the inspection report is received with plenty of time left to negotiate repairs before Due Diligence expires.
- Repair Invoice Tracking: Once repairs are agreed upon, we follow up to collect all necessary vendor invoices and receipts, ensuring the closing attorney and the other party have documented proof of completion prior to the final walkthrough.
- HOA Coordination: We verify the HOA management contact information and supply it directly to the closing attorney so they can order the final statement of account on time. If the seller provides the community covenants and bylaws, we ensure they are promptly delivered to the buyer’s agent.
- Lender & Attorney Follow-up: Routine check-ins with the mortgage lender for the “Clear to Close,” and sending all necessary addendums, HOA information, and commission splits to the attorney to ensure the CD is perfectly accurate.
NCREC Document Compliance
- Deep Contract Review: A thorough audit of the executed contract to check for missing initials, blank dates, and accurate purchase price math.
- Disclosure Management: Ensuring the RPOADS, MOG, Lead-Based Paint, and HOA Disclosures (2A12-T) are properly executed and available.
- Brokerage System Uploads: We upload all executed documents directly into your firm’s specific compliance system (zipForm, Dotloop, Command, SkySlope, etc.) and formally submit the file for your Broker-in-Charge’s approval.
- Repair & Price Amendments: You negotiate the deal, and we handle the paperwork. We draft your repair requests (310-T) and price changes (710-T), and instantly distribute the executed copies to the lender and attorney.
- Closing Disclosure (CD) Audit: Reviewing the Seller’s CD or ALTA statement prior to closing to verify your commission and repair credits are perfectly accounted for.
Your Role in the Partnership
- Client Relationship & Strategy: You remain the face of the transaction and the primary advisor to your buyer or seller. We handle the administrative logistics, but you handle the relationship, market advice, and fiduciary guidance.
- All Negotiations: You are the expert negotiator. You handle all discussions regarding offer terms, Due Diligence repair requests, and price reductions. Once you reach an agreement with the other side, simply provide us the documentation and we will manage the execution of those addendums.
- After-Hours & Emergencies: Clear Closing TC operates during standard business hours (Monday–Friday, 9:00 AM to 5:00 PM). Because real estate happens around the clock, you are responsible for managing any urgent, time-sensitive fires or negotiations that occur outside of our office hours or on weekends.
Investment: $350 per Transaction
Billed only when the file successfully closes. Fee is paid directly at closing via the attorney’s settlement statement. Please see Terms of Service for more details. (Note: Dual Agency transactions require double the compliance tracking and are billed at $500).
